Datamining Tools – Ribbon, Tool Bar, and Context Menu
Datamining Reports provide several UI control surfaces that allow users to build, modify, analyse, and act on report data.
These controls are split across:
- The Ribbon
- The Tool Bar
- The Report Grid Context Menu
Ribbon Tools
Expand All Tiers
Datamining Tiers are stacked vertically next to the report grid and are automatically collapsed when a report is run to maximise grid space.
Expand All Tiers expands all tier panels in a single action.
Tiers can also be expanded or collapsed individually using the arrow icon on each tier panel.
Note: The Disable Auto Collapse option in the Tool Bar can be used to prevent tiers from collapsing automatically when a report is run.
Collapse All Tiers
Collapses all Datamining Tier panels.
Pivot as Table
Opens a Pivot Grid popup window with the report results preloaded.
Pivot as Chart
Opens a Pivot Chart popup window with the report results preloaded.
Deduplicate Rows
Multi-tier reports often link multiple modules together, which can result in duplicate rows appearing in the grid.
Deduplicate Rows removes duplicate rows from the report output as displayed in the grid.
Internal Column Names
By default, report columns use display names configured in the Administration area. These names may vary between instances.
Enabling Internal Column Names switches column headers to their fixed internal names (for example, Applications_AppVendor).
Internal names are consistent and are required when working with:
- Expression Columns
- Colour Rule Columns
- API integrations
Show Hidden Fields
Controls which fields are available for selection in Reporting Tiers.
By default, only fields configured as visible are shown.
Enabling this option displays all reportable fields, including those that are hidden by default.
Show History Fields
Adds additional options to Reporting Tiers that allow historical data to be included.
When enabled, a secondary checkbox appears next to each field.
Selecting a history field and rerunning the report adds three columns:
- Previous Value
- Previous Date
- Modified By
Filter Results
Allows the report results to be re-scoped to a specific subset of items without leaving the report.
The report must have been run at least once to enable filtering options.
A common use case is:
- Run a report on all items (for example, all Applications).
- Filter the grid using the UI.
- Copy the IDs from the filtered view.
- Use Filter Results to paste those IDs.
Subsequent runs of the report will use these IDs instead of the original Data Source.
Tool Bar
The Tool Bar contains standard grid actions common across ManagementStudio.
In addition, Datamining Reports include the following tools:
Disable Auto Reload
By default, the report automatically reruns after update actions performed via the context menu (for example, changing the process of multiple items).
Disable Auto Reload prevents automatic reruns, allowing users to manually control when the report is refreshed.
This is useful for long-running reports or when making a large number of changes.
Disable Auto Collapse
Prevents Datamining Tiers from automatically collapsing when a report is run.
View / Builder Toggle
Switches between:
- Builder View – includes ribbon menus, tier panels, and configuration options
- View Mode – a simplified view showing only the report grid and Tool Bar
Context Menu
The report grid provides a context menu that allows bulk actions to be performed on selected rows.
This menu mirrors the actions available on the main module grids, including:
- Moving items between Processes
- Updating fields
- Managing links and Blueprints
- Adding Defects
- Archiving or deleting items
For context menu actions to be available, the module’s ID column must be present in the report.
In multi-tier reports, if ID columns from multiple modules are present, context menu actions for those modules will also be available.
Example:
In an Applications report that includes a User Migration tier with the MigrationId column, the context menu will allow updates to both Applications and Users.
Datamining Tools – Canonical Rules
- The Ribbon, Tool Bar, and Context Menu operate only on the current report output.
- Ribbon tools affect report layout, analysis, or configuration, not underlying data.
- Tool Bar options include both standard grid tools and Datamining-specific controls.
- Context Menu actions perform bulk updates on the underlying module items.
- Context Menu actions require the relevant module ID column to be present in the report.
- In multi-tier reports, context menu actions are available for every module whose ID column is present.
- Automatic report reruns occur after context menu updates unless Disable Auto Reload is enabled.
- Datamining Tiers automatically collapse on report run unless Disable Auto Collapse is enabled.
- Filter Results overrides the original Data Source for subsequent report runs.
- Internal Column Names are required when working with Expressions, Colour Rules, and APIs.

Why did my Datamining Tiers collapse when I reran the report?
Datamining Tiers automatically collapse when a report is run to maximise grid space. Enable Disable Auto Collapse in the Tool Bar to prevent this behaviour.
Why did my report rerun automatically after I updated items?
By default, the report automatically reruns after context menu updates (such as changing process or updating fields). Enable Disable Auto Reload to manually control when the report is refreshed.
Why do I see duplicate rows in my report?
Multi-tier reports can produce duplicate rows when items are linked across modules. Use Remove duplicate Rows to remove duplicates from the grid output.
Why do column names change when I enable Internal Column Names?
Display names are configurable and may vary between environments. Internal column names are fixed, predictable identifiers used for Expressions, Colour Rules, and API access.
Why can’t I find certain fields in the Reporting Tier?
By default, only fields configured as visible are shown. Enable Show Hidden Fields to display all reportable fields.
Why did extra columns appear when I enabled Show History Fields?
When a history field is selected and the report is rerun, three additional columns are added: Previous Value, Previous Date, and Modified By.
Why did my report results change after using Filter Results?
Filter Results replaces the original Data Source with a specific list of IDs. Subsequent report runs are scoped to those IDs instead of the original Data Source.
Why don’t context menu actions appear?
Context menu actions are available only when the relevant module ID column is present in the report. Ensure the appropriate ID field is included.
Why can I update Users from an Applications report?
In multi-tier reports, context menu actions are enabled for all modules whose ID columns are present, regardless of the primary module.
Why can’t I click Pivot as Table or Pivot as Chart?
Pivot tools open analysis views using the current report results. If no results are present, or the report has not been run, these options may be unavailable.
Does switching to View Mode change the report?
No. View Mode hides builder UI elements but does not change the report configuration or data.
Common Support Scenarios
Scenario: Building a report with many tiers
Use Expand All Tiers while building the report, then enable Disable Auto Collapse to prevent tiers from closing during testing.
Scenario: Making many bulk updates
Enable Disable Auto Reload to prevent repeated report reruns while performing multiple context menu updates.
Scenario: Acting on multiple modules from one report
Include the ID columns for each required module. The context menu will enable bulk actions for all included modules.
