Blueprints - Overview

Introduction

ManagementStudio offers blueprints to help a project admin organise and structure a group of related items. Similar to folders in Windows, a Blueprint can contain Users, Applications, Devices, Mailboxes, Bespoke and Deployment Units. The difference between a Windows folder and a Blueprint is that the same items can be added to more than one Blueprint. For example, in a project, you can have an Application in a Finance Blueprint, Marketing Blueprint, London Blueprint and a Problem Apps Blueprint all at the same time.


Benefits of Blueprints

Blueprints provide the ability for a Project Admin to structure an Organisation's application portfolio in any way they desire. Rather than looking at a list of 3000+ applications and wondering how the project is going, an admin, can zoom in to a single department and see if all its applications are ready. As Blueprints are held in a tree-like view, it is possible to zoom out a level and see how all the departments are progressing. There is no limit to how granular you want to make your Blueprints - the more, the better.


Accessing Blueprints

To view Blueprints:

  • Select the Administration (1) button located at the bottom of the vertical menu on the left.
  • Scroll to the Project Settings section towards the bottom and select Blueprints (2).



Blueprint Layout

The Layout consists of:

  • The Control Bar (1):
  • Reload Blueprints: Reloads the Blueprint grid.
  • Show Counts: Displays a count of each item in each Blueprint.
  • Export (csv): Export the Blueprint structure to a CSV file.
  • The Blueprint Grid (2). This displays all the Blueprints defined in a project with module counts (when enabled). Any folders that are expanded will be remembered if the grid is reloaded during the current session.



Using the Context Menu

The Context menu provides additional functionality to the grid. Select one Blueprint using the left-click of the mouse to invoke the Context menu.

  • Hide Blueprints: Provides the ability to hide Blueprints from appearing in the specified modules.
  • Mirror Blueprints: Where an item such as a user is linked to another item, such as an application, it may be useful to "mirror" the Blueprints between the two items. For example, a user in the Finance department has been added to the Finance Blueprint. The Mirror Blueprints menu can be used to mirror the user's apps to the Finance department Blueprint.   • Blueprint Stacks: Blueprint Stacks enable the auto-creation of links between two items if both items are in the same Blueprint. For example, there can be a link created between a group of Users and an application (or groups of applications).
    One of the benefits of Blueprint Stacks is that they can be dynamic; as Users are added or removed from the Blueprint, the links are automatically added or removed based on the Blueprint membership. A User who moves into a Blueprint (representing a Location or Department) will have their linked applications added automatically. Read more about Blueprint Stacks.

  • Hide Folders: Provides the ability to hide folders from appearing in specified modules.
  • Unique Items Folder: Provides the ability to set the folder as a unique item folder. For example, if the Department folder is set as unique, an employee can only be a member of one of the Blueprints in that folder.


Working with Blueprints

The Edit menu (represented by the line stacks or hamburger menu, as illustrated below) is available to each item in the grid and allows the ManagementStudio administrator to perform frequent activities, such as creating new Blueprints or renaming existing Blueprints.

  • New 'Folder\Blueprints' from List: Create multiple Blueprints from a list (one per line).
  • New Blueprint: Create a new blueprint.
  • New Folder: Create a new folder structure to group Blueprints.
  • Rename: Rename a Blueprint.
  • Cut: Allows Blueprints to be cut from their current location and placed in the clipboard.
  • Paste: Allows Blueprints to be pasted from the clipboard to a specific location.
  • Copy (names): Copies the name of the Blueprint to the clipboard. Options are:
    • Copy Name, e.g. Marketing
    • Copy Folder\Name, e.g. Business Development\Marketing
    • Copy Full Path, e.g. Departments\Business Development\Marketing
  • Hide Folders: Provides the ability to hide folders from appearing in specified modules.
  • Unique Items Folder: Provides the ability to set the folder as a unique item folder. For example, if the Department folder is set as unique, an employee can only be a member of one of the Blueprints in that folder.
  • Remove: Removes Blueprints from the structure.



Examples

Creating a Blueprint

The example that follows will create a Deployment Unit blueprint structure based on location and add a few Users to the blueprint.

  • Switch to Administration > Blueprints.
  • Click on the Edit (1) symbol within the root folder.
  • Select New Folder (2) from the context menu.


Note: New Blueprint will create a blueprint within the root folder. Blueprints can only be added to Folders, not blueprints.



  • When prompted, call the new folder Deployment Unit (1).
  • Click OK (2).

  • Click the edit symbol (1) next to the newly created Blueprint folder 'Deployment Unit'.
  • Select New Folder (2) from the context menu.


  • Enter folder name Deployment Unit Location and click OK.
  • Click the edit symbol (1) next to the newly created folder.
  • Select New 'Folder\Blueprints' from List (2).


  • Enter North\Luton to create a subfolder called North and a Blueprint called Luton.
  • Click OK to confirm.


Adding an Item to a Blueprint


The following steps are consistent in the other modules within ManagementStudio.


  • Reload the Project to refresh the changes to the Blueprints.
  • Switch to the User Migrations (1) module.
  • Select the Users (2) that you wish to add to the Blueprint.
  • Right-click on the selected users and select Blueprints > Add to.... (3).
  • Select the appropriate Blueprint: Deployment Unit > Deployment Unit Location > North > Luton (4).


  • Click Add to confirm.
