Introduction
This guide walks you through the process of importing applications with contact type details, such as Primary Contact, Technical Lead, Project Sponsor, etc., using ManagementStudio’s import tools.
Please note that this process can be followed to import other items such as Devices, User Migrations, Deployment Units etc with contact type details.
Step 1: Understand the Data Model in ManagementStudio
In ManagementStudio, Applications are core entities, and each application can be linked to multiple Contacts. Each contact is assigned a Contact Type, which helps categorize their role (e.g., "Primary", "Business Owner", "Technical Contact").
The relationship looks like this:
- Application → linked to → Contact
- Contact → categorized by → Contact Type
You’ll need to ensure each contact linked to an application includes:
- Contact name
- Email or unique identifier
- Contact Type (must match existing or predefined values in ManagementStudio)
Step 2: Prepare the Import File
Create a spreadsheet (CSV or Excel) with the following structure:
The import file should:
- Have one row per contact per application
- Include all required fields: Application ID, contact name, contact type, contact email etc.
Tips:
- Use consistent naming for Contact Types that already exist in ManagementStudio.
- If you're using a unique Application ID, include it for more accurate linking.
Step 3: Use the ManagementStudio Import Tool
- Navigate to Import Data (1) > Contacts (2)
- Browse to the location where the prepared file is save
- Upload the prepared file
- Map the columns:
- Map “Application ID” to the Link to App Id (ContactAppID)
- Map “Contact Type” to the contact role field
- Map contact details as appropriate (first name, last name, email, country, domain etc)
Important: ManagementStudio may require Applications to exist first before associating them with contacts. You may need two steps:
- First import applications
- Then import application-contact relationships, mapping contact type/role
Step 4: Validate Contact Types
ManagementStudio supports controlled vocabularies for fields like Contact Type. If your file includes new types not present in the system:
- You can manually add new Contact Types via Administration> Application> Menu Items (1)>Click on Menu Group dropdown and select ContactType (2)> Click here to add new item (3)>Save Changes (4) before importing
- Or adjust the spreadsheet to match existing Contact Types exactly
Step 5: Post-Import Validation
After your import:
- DataMiningReports to verify contact assignments
- Open a few sample applications to confirm contact type roles are populated correctly
