Overview
The Application Owner Engagement Process plugin is a purpose-built feedback and ownership validation tool designed to gather up-to-date information from Application Owners. It streamlines the process of verifying details such as licence status, compliance posture, and upgrade readiness for each application, ensuring critical data remains current and accurate.
By automating outreach and providing an intuitive self-service interface, this plugin empowers App Owners to take responsibility for their application data—while giving administrators visibility, control, and auditability.

Component Parts
1. App Owner Survey
A Portal Form that prompts App Owners to provide details on application licence status, compliance alignment, upgrade availability, and other important metadata. This ensures the IT estate remains well-documented and audit-ready.
2. App Owner Apps Report
A Portal Page that presents App Owners with a full list of applications they are responsible for. Within this interface, they can:
- View all their assigned applications
- See the last refresh date for each
- Update application records with new information
- Disclaim ownership of applications they no longer manage
3. Refresh App Info Email
An automated Email Notification is sent to App Owners, alerting them that one or more of their applications require a data refresh. The email includes a direct link to the App Owner Apps Report, enabling quick action.
4. Scheduled Task
A Daily Task that scans for applications not refreshed in over a defined number of days (default: 180). It automatically sends the Refresh App Info Email to the relevant App Owners, maintaining data hygiene through scheduled engagement.
